Build four layers into the calendar
Corporate: annual returns, confirmation statements, registers and resolutions.
Financial and tax: accounts, tax computations, returns, payments and supporting records.
Operational: licence renewals, premises, insurance, payroll and regulated appointments.
People and mobility: employment, visas, dependant status and renewal evidence.
Assign an owner before assigning a reminder
Every obligation needs a responsible person, information provider, reviewer and escalation path. A calendar without ownership simply records when a failure becomes visible.
Inactive does not always mean exempt.
Official filing systems may still require annual submissions from dormant or non-trading companies.
Add a quarterly change review
Review owners, directors, officers, authorised signatories, registered addresses, activities, licences, customer geography, employees, payroll, banking permissions and adviser appointments.
Keep evidence with the event
Store the filed form, approval, working papers, payment evidence and next due date together. Review the calendar after every material change rather than waiting for year end.
